Going Paperless: How to Move Your Clinic or Lab to Digital Records

A step-by-step plan for clinics, diagnostic labs and nursing homes moving from paper files to digital patient records — without disrupting patients or staff.

Going paperless sounds like a big project, but it doesn't have to be. The clinics and labs that do it well move in small steps, starting with new patients and letting old files retire naturally. Here's a practical plan.

Why go digital?

  • Find any patient's history in seconds instead of searching a cabinet.
  • Every doctor in the practice works from the same record.
  • Lab reports reach patients and doctors without printing, collection or WhatsApp.
  • Records are backed up instead of being lost to water, fire or misfiling.

Step 1: Choose the system and set it up

Pick software that fits how you already work and that your front desk can learn in a day. Add your doctors, staff and services first, so everything is ready before the first patient.

Step 2: Go digital for new patients first

From day one, register every new patient digitally. This immediately stops the paper pile growing, without asking anyone to type up old files.

Step 3: Digitise returning patients as they come in

When a regular patient returns, add their key history — allergies, conditions, current medicines — to their digital record. Scan or photograph only the documents that still matter. Over a few months, most of your active patients will be digital.

Step 4: Send reports and prescriptions digitally

For labs, this is the biggest win: upload each report once and it reaches the patient's record, ready to share with their doctor. For clinics, digital prescriptions end the problem of illegible handwriting at the pharmacy.

Step 5: Let patients carry their own records

When patients have a QR health card, they bring their history to you and take your records with them. That's the point at which paper truly stops coming back.

Common worries

"My staff aren't comfortable with computers."

Choose a system that works on phones and simple screens, and start with one task — registration — before adding more.

"What about old files?"

Keep them as required by law, but don't digitise everything up front. Add history as patients return, and archive the rest.

"Is digital data safe?"

With encryption and role-based access, digital records are typically far safer than an unlocked cabinet. See how we protect data on our security page.
